Our commitment to your privacy
Reland helps homeowners plan their outdoor spaces with clear, buildable landscape designs. To do that well, we collect some personal information from you — and we take looking after it seriously.
This policy explains, in plain language, what we collect, why, who we share it with, how long we keep it, and the choices you have. If anything here is unclear, you can always reach us at hello@reland.ca.
Reland is a landscape design planning business based in the Ottawa area, Ontario, Canada. In this policy, “Reland,” “we,” “us,” and “our” mean that business. We follow Canada’s federal privacy law, the Personal Information Protection and Electronic Documents Act (PIPEDA).
Who this policy applies to
This policy covers everyone whose information we handle, not only paying clients:
- Visitors — anyone who browses reland.ca.
- Leads — anyone who completes our pre-qualification quiz to request a proposal, whether or not they become a client.
- Clients — anyone who engages Reland for a paid landscape planning service.
If you complete the quiz but never become a client, you still have every right described in this policy, including the right to ask us to delete your information.
What we collect
We only collect what we need. What we hold depends on how you interact with us.
When you request a proposal (the quiz). Your name, email address, an optional phone number, and the answers you give about your project and property.
When you become a client. The information needed to design your space — your property address, photographs of your yard, measurements, site notes, design preferences, and confirmation that a payment has been made.
During a site visit (On-Site and Studio plans). For these plans, we assess your property in person. This includes taking measurements and photographs, evaluating yard conditions, and conducting a basic soil test. Photographs may occasionally capture neighbouring properties or people nearby; we frame our photos to your property as much as possible and use them only for your project.
When you visit our website. We use Google Analytics to understand how visitors use reland.ca so we can improve it. This sets cookies and collects standard usage data such as your approximate location, device and browser type, and the pages you view. You can manage cookies and learn more in our Cookie Policy, and opt out of Google Analytics using the Google Analytics Opt-out Browser Add-on.
When you contact us through social media. If you reach us through our social media pages (such as LinkedIn, Instagram, or Facebook), we receive the information you choose to share, such as your name and message. Your use of those platforms is also governed by their own privacy policies.
We do not collect payment card numbers ourselves — payments are handled by QuickBooks Payments (see section 6).
Why we collect it
We use your personal information to:
- Prepare and send your project proposal;
- Deliver your landscape planning service and create your design;
- Contact you about your project;
- Follow up with you after your project — for example, to see how it’s going or to invite your feedback or a review;
- Process payments and keep accounting and tax records;
- Improve our website and services; and
- Meet our legal obligations.
We don’t use your information for anything beyond these purposes without asking you first.
Consent
When you submit the quiz, you’re asking us for a proposal — so we take that as your consent to contact you about it. This is your information being used for the obvious reason you provided it.
We don’t send marketing messages such as newsletters or promotional offers.
You can withdraw your consent or ask us to stop using your information at any time by emailing hello@reland.ca, as long as doing so doesn’t prevent us from meeting a legal obligation (for example, keeping tax records).
Who we share it with
We don’t sell your personal information. We share it only with the service providers we rely on to operate Reland, and only as needed:
- Form and intake tools — to collect your quiz and project responses;
- Cloud storage and workspace services — to store project files, photos, and records;
- A payment processor (QuickBooks Payments) — which handles your card details directly; we receive only confirmation of payment and basic billing information;
- Accounting software — for invoicing and tax records; and
- The designers who work on your project — independent designers, some of whom may be located outside Canada. They receive only what they need to design your space: a project brief, your property address, and relevant photos. They never receive your contact details or payment information.
Contractors or suppliers, only with your consent — if you ask us to refer your project, or if we can connect you with a vetted contractor or supplier for a quote, we’ll share your information with them only after you’ve agreed. We never pass your details to any contractor or supplier without asking you first.
We may also share your information if the law requires it, or if Reland is reorganized, sold, or otherwise transferred — in which case your information would move to the new owner under this same policy.
Where your information is processed
Some of our service providers, and some of the designers who work on your project, may be located outside Canada — including in the United States and other countries. When your information is stored or processed in another country, it may be subject to that country’s laws. We work with established providers and require those who handle your information to protect it.
How long we keep it
We keep personal information only as long as we need it.
- Lead information (from the quiz) is kept while we’re in touch about your project and for up to 12 months afterward, unless you ask us to delete it sooner.
- Client project information is kept for the duration of your project and retained afterward as your project record.
- Payment and tax records are kept for six years, as required by the Canada Revenue Agency.
When information is no longer needed and we’re not required to keep it, we securely delete it or remove anything that could identify you.
How we protect it
We take reasonable steps to keep your information safe from loss, misuse, or unauthorized access. These include:
- Storing your information in secure, access-controlled systems;
- Keeping each client’s information in its own isolated directory, accessible only to the authorized people working on that specific project;
- Giving designers access to only the project they’re working on, and only the information they need; and
- Using strong passwords and protected devices and accounts.
No method of storing or sending information is ever completely secure, but we work to protect your information and to limit who can see it.
Your rights
You have the right to:
- Access the personal information we hold about you;
- Correct anything that’s inaccurate or incomplete; and
- Delete your information or withdraw your consent (subject to any records we must keep by law).
To make any of these requests, email us at hello@reland.ca. We’ll respond within 30 days. These rights apply to everyone — including people who took the quiz but never became clients.
Children
Reland’s services are meant for adults. We don’t direct our website or services to anyone under 18 and don’t knowingly collect their information. If you believe a minor has given us personal information, contact hello@reland.ca and we’ll remove it.
Changes to this policy
Reland will grow and change, and this policy may change with it. When it does, we’ll post the updated version here with a new “last updated” date. Significant changes will be made clear.
